How to Track Sales for a Small Online Business in India: Orders, Profit per Product and a Monthly Review

Printable sales tracker for small business

To track sales for a small business, log every order the day it comes in (date, order number, customer, product, quantity, amount, paid and sent), total the month, and work out three numbers: revenue, profit per product and average order value. Then spend 30 minutes each month on what sold, which channel brought the orders and what to change. It works the same whether you sell on Instagram, WhatsApp, a marketplace or at weekend markets.

1. The daily order log

Column Why
Date & order # Find any order quickly when a customer messages
Customer Spot repeat buyers
Product & quantity Know what actually sells
Amount ₹ Revenue for the day and month
Paid ✓ Catch unpaid COD or pending UPI transfers
Sent ✓ Make sure nothing is left unshipped

2. Three numbers that matter

  • Revenue = total of all paid orders in the month.
  • Average order value (AOV) = revenue ÷ number of orders. Bundles and "add-on" suggestions raise it.
  • Profit per product = (selling price − cost to make or buy, including packaging) × units sold.

Worked example: a handmade candle seller

Product Price ₹ Cost ₹ Units Revenue ₹ Profit ₹
Jar candle 450 180 40 18,000 10,800
Gift set of 3 1,200 520 12 14,400 8,160
Tea lights (pack of 12) 250 150 30 7,500 3,000
Total 82 39,900 21,960

With 60 orders that month, the average order value is ₹39,900 ÷ 60 = ₹665. The gift set earns the most profit per order (₹680), so it deserves more promotion than the tea lights, even though they sell more units. Figures are illustrative; delivery charges, platform fees and ads also need to come out of profit.

3. The monthly review (30 minutes)

  1. Total orders, revenue, refunds and average order value; compare with your goal.
  2. List your top 5 products by profit, not only by units.
  3. Note which channel brought the orders (Instagram, WhatsApp, marketplace, referrals, markets).
  4. Write one thing that worked and one thing to change next month.
  5. Set next month's revenue and order goals, and plan one promotion or launch.

4. Keep a customer list and a returns log

A simple customer list (name, contact, city, number of orders) lets you thank repeat buyers and tell them about new launches. A returns and refunds log shows patterns: if one product keeps coming back, fix the product or the description.

Tax and GST basics

Keep your monthly totals, because you'll need them for your income tax return. Businesses selling goods generally need GST registration once turnover crosses ₹40 lakh a year (₹20 lakh or less in some states), and online sellers on marketplaces may need it earlier. Confirm your case with a chartered accountant. See our GST invoice guide and how to track freelance income.
