To track freelance income in India, record every payment the day it arrives (date, client, description, amount received and any TDS deducted), keep a separate list of invoices until each is paid, and total your income by month and by income stream. Before filing your return, match your totals against the AIS and Form 26AS on the income tax portal, so every rupee of TDS is claimed. Twenty minutes a month is enough.
What to record for every payment
| Field | Why it matters |
|---|---|
| Date received | Puts income in the right month and tax year |
| Client / source | Lets you total income per client and stream |
| Description / invoice number | Links the payment to the work and invoice |
| Amount received ₹ | What actually reached your bank |
| TDS deducted ₹ | Tax already paid on your behalf, claimed when you file |
Gross income = amount received + TDS. If a client paid ₹45,000 after deducting ₹5,000 TDS, your income is ₹50,000, and the ₹5,000 counts towards your tax.
Track invoices separately
Income and invoices are different lists. Log each invoice you send (number, client, date sent, due date, amount), then tick it when paid. A quick weekly look shows who to follow up with before a late payment becomes a lost one.
The monthly 20-minute routine
- Match this month's bank credits to your income log and add anything missing.
- Mark paid invoices and follow up on overdue ones.
- Total the month by income stream (for example, client work, teaching and content) and compare with your goal.
- Set aside money for tax. Freelancers whose tax after TDS is ₹10,000 or more for the year must pay advance tax in instalments. See our advance tax guide.
Year-end: reconcile before you file
- Download your AIS and Form 26AS from the income tax e-filing portal.
- Check that every client's TDS appears, and that the gross income matches your log.
- If a deduction is missing, ask the client to correct their TDS return before you file.
- Give your yearly summary to your CA, or use it to file yourself.
Do you need GST registration?
Service providers generally need GST registration once their aggregate turnover in a financial year crosses ₹20 lakh (₹10 lakh in some special-category states), and in certain other cases, such as many export and online-platform situations. See our GST invoice format guide for freelancers and confirm with a CA.
